Vaccination and Health
Availability: Included in all plans — all stables can use vaccination tracking at no extra cost.
EquiDuty makes it easy to stay on top of vaccinations, health records, and vet visits for all your horses. Built-in EU standard templates mean you never have to enter the same information twice.
EU Standard Vaccinations
EquiDuty includes 10 predefined vaccination templates that follow EU regulations for horse passports:
- Influenza – Primary series with 2 doses (day 0 and 21–92 days later), then a booster every 6 months
- Herpesvirus (EHV-1/EHV-4) – Booster every 6 months
- Tetanus – Primary series with 2 doses, then every 2 years
- Rhinopneumonitis – Every 6 months
- West Nile Virus – As recommended by your vet
- Rotavirus, Botulism, Rabies, Equine Viral Arteritis, and Strangles – Templates with recommended intervals
Each template includes standard intervals and a description of why the vaccine is given.
Recording a Vaccination
- Go to Horses and select the horse you want to vaccinate
- Click the Health tab, then Vaccination
- Click New Vaccination Record
- Choose a template, fill in the date, attending vet, and batch number
- Save — the system automatically calculates the next due date

Vaccination Plans and Reminders
When you enter a vaccination, the system automatically creates a plan for the next dose. You can:
- View all upcoming vaccinations in a shared calendar view
- Set email reminders X days in advance (default: 14 days)
- Mark a vaccination as done directly from the reminder notification
Compliance warnings appear clearly on the horse profile:
- Orange icon — Vaccination due within 30 days
- Red icon — Vaccination is overdue and the horse is not current
Sharing Vaccination Certificates
Before competitions or transport, you can share a digital vaccination certificate:
- Go to the horse’s Health tab
- Click Share Vaccination Certificate
- Copy the link or download the PDF
The link is anonymized (shows only the horse’s name and vaccination history, no owner details) and expires after 48 hours.
Inviting a Vet
Give your veterinarian time-limited access to a horse’s records:
- Go to Settings → Team Members
- Click Invite and select the Veterinarian role
- Enter the vet’s email address and choose which horses they can access
- Set how long the access lasts (1–30 days)
The vet can add health notes and treatment logs but cannot see other boarders’ horses or any financial information.
Health Records
Under Health → Records you can add:
- Illness episodes with symptoms and treatment
- Vet visits with diagnosis and prescriptions
- Free-form notes (e.g., “Bella seemed quiet today — check her front hooves”)
All history is searchable and sorted chronologically.
Exporting Vaccination History
For passport documentation or insurance purposes, export the full vaccination history as a PDF: Health → Vaccination → Export PDF.
Frequently Asked Questions
Do I need to register all horses before I start?
No. You can add vaccinations for one horse at a time. The system won’t warn you until you start actively using that horse’s profile.
How do reminders work — are they sent automatically?
Yes. When a due date approaches, an email reminder is sent to the stable owner and the person responsible for the horse. You can adjust the reminder interval under Settings → Notifications.
Can the vet see other boarders’ horses?
No. Access is strictly limited to the horses you specified when you invited the vet. They see no other profiles, bookings, or financial data.
