Invoicing

Availability: Included in the Stable Plus plan and above (599 SEK/mo).

The invoicing module handles everything from one-off invoices to monthly batch runs with Bankgiro and OCR references. It’s built specifically for stables and riding schools and supports Fortnox synchronization.

Activating the Invoicing Module

  1. Go to Settings → Modules
  2. Click Invoicing and then Activate
  3. You’ll be redirected to Invoice Settings to configure Bankgiro and other details

Invoice Settings

Under Invoicing → Settings, configure:

  • Bankgiro number — used for payment instructions on the invoice
  • OCR reference format — choose how the OCR reference is generated (e.g., customer number + invoice number)
  • Payment terms — default is net 30 days
  • VAT — enter the applicable VAT rate for your jurisdiction
  • Sender details — stable name, address, and registration number

Billable Items

The following can be set up as billable items and linked to customers:

  • Stable rent — monthly or per period
  • Lessons and lesson packages — per session or subscription
  • Feeding service — based on registered feeding plans
  • Facility booking — per booked hour (requires pricing per facility)
  • Miscellaneous — free text and custom amount

Creating Invoice Groups

Group customers for efficient batch runs:

  1. Go to Invoicing → Groups → New Group
  2. Name the group (e.g., “Boarders January”)
  3. Add customers (the stable’s registered guests)
  4. Select which billable items to include

A customer can belong to multiple groups.

Generating Batch Invoices

  1. Go to Invoicing → Generate
  2. Select the period (e.g., January 2026)
  3. Select one or more groups
  4. Click Preview — check amounts and recipients
  5. Click Send — invoices are generated as PDFs and sent by email

Each invoice includes payment instructions with Bankgiro and OCR reference.

Tracking Payment Status

Under Invoicing → Overview you can see the status of all invoices:

  • Unpaid — sent but not yet paid
  • Paid — manually marked or synced from Fortnox
  • Overdue — past the payment date
  • Disputed — flagged for manual handling

Click an invoice to view details, send a reminder, or mark it as paid.

Fortnox Integration

If your stable uses Fortnox, you can sync customers and invoices:

  1. Go to Settings → Integrations → Fortnox
  2. Enter your Fortnox API key
  3. Click Test Connection
  4. Enable automatic sync

Invoices sent from EquiDuty are automatically created in Fortnox with the correct customer number.

Frequently Asked Questions

Can I use my own invoice templates?

No, EquiDuty uses a standard template with your stable’s logo and details. Custom templates are planned for a future version.

How are credit notes handled?

Go to the invoice you want to credit and click Create Credit Note. A negative invoice is generated and linked to the original.

Are all invoices automatically synced to Fortnox?

Yes, if you’ve enabled automatic sync. You can also sync manually per invoice using the Send to Fortnox button.
