Activities and Daily Tasks
Activities are the flexible companion to routines — they handle everything that doesn’t fit neatly into a recurring schedule. Think of them as a shared digital notepad for the stable, with tracking, history, and responsibility assignment built in.
The Difference Between Routines and Activities
Routines are recurring tasks with a fixed schedule (e.g., morning feeding every day at 7:00 AM). They appear as scheduled shifts and are distributed fairly.
Activities are one-off tasks or notes without a fixed schedule:
- “Book a vet for Bellone next week”
- “Check Svansen’s hooves — seemed tender this morning”
- “Order a new hay bag”
Both appear in the daily overview, but activities are managed separately so they don’t interfere with routine balance calculations.
Creating an Activity Type
Before creating activities, you can define your own types (e.g., “Vet Contact”, “Equipment Purchase”, “Health Note”):
- Go to Settings → Activity Types
- Click New Type
- Choose a name and icon
- Save
The system comes with a few default types so you can get started right away.
Creating an Activity
- Go to Activities in the menu
- Click New Activity
- Choose a type and enter a short description
- Select a horse (optional — activities can apply to the whole stable)
- Set the date and time
- Assign to a person (optional)
- Add a note
- Save

Daily Notes During Shifts
During an active shift, team members can add short notes on the fly:
- Open the active shift
- Select Add Note
- Choose a horse (optional) and write your note
Notes appear on the horse’s profile page and in the activity log, and the stable owner sees them in the daily summary.
Viewing Today’s Tasks
On the Home screen you’ll find a combined view for the current day:
- Scheduled routines (with status and assignee)
- Activities for the day (with priority and optional horse)
- Completed items marked with a green check
The view updates in real time — if a colleague marks a task as done, you see it immediately.
Upcoming Tasks
The Upcoming tab shows activities for the next 7 days, sorted chronologically. It’s handy for planning the week and seeing what needs to be prepared.
Tracking History
Under Activities → History you can:
- Search activities by horse, type, or date
- Filter by completed or open activities
- See who marked an activity as done and when
History is retained indefinitely.
Marking as Done
Click the checkmark icon next to an activity to mark it as complete. You can add a free-text confirmation (e.g., “Vet booked for Friday”). If you assigned the activity to someone else, they receive a push notification when you complete it.
Frequently Asked Questions
What’s the difference from routines?
Routines are recurring with a fixed schedule and fair distribution. Activities are one-time events or ongoing notes. Use routines for regular stable work and activities for exceptions and extra communication.
Can activities be assigned to a group?
Not directly — you assign to one person. But you can leave the assignee field blank and write in the note who the group is, e.g., “All riding instructors: check the equipment room.”
Can I attach photos to an activity?
Yes. Click the paperclip icon in the activity form to upload up to 3 images. Photos are saved in the activity history.
