Figures, expenses and payment

Payment

Directly by card, close to daily work

How does everyday stable work turn into invoice figures?

Invoicing gets simpler when services, bookings, extra feed, expenses and payments are gathered close to the events that create the figures.

From planning to a finished invoice

The whole chain connects, from what happens at the stable to an invoice you can send. Billable items become invoice lines, invoice lines become figures, and figures become a finished PDF with a tax breakdown. Invoices sit in clear tabs for current, history and unhandled exports, so nothing falls through the cracks.

  • Billable items that become invoice lines
  • Invoice figures with tax and totals
  • A finished invoice as a PDF
  • Send or resend by email
  • Tabs for current, history and unhandled

Items and price lists without double work

Set up your charges and services once and reuse them. Price lists and invoice items mean the same charge is priced correctly every time, with the right category and tax rate, without anyone doing sums in their head. You can import ready-made templates from the library and control which items are active or visible.

  • Invoice items with a price, category and tax rate
  • Reusable price lists for charges and services
  • Import templates from the library
  • Activate or hide items as needed

Billing groups and a fair split

Many payments go to the same person but cover several riders. With billing groups you gather them under one payer so the split stays fair and clear. Your billing customers are kept in their own list with status and contact details, and can be imported from CSV when you get started.

  • Gather several riders under one payer
  • Relationships like parent, guardian, company or sponsor
  • One combined invoice instead of many
  • Billing customers in their own list, even from CSV
  • A fair split of charges

Preview every billing period

You should never have to guess what a billing run contains. Preview every pending item per payer for the chosen month, and close the period only once everything looks right. Closed periods show status per supplier with the number of successes and failures, and you can export both a summary and a detailed report.

  • Preview every pending item per payer
  • Totals with and without tax before running
  • Closed periods with status per supplier
  • Export a summary or a detailed report as CSV

Supplier invoices and expenses in one place

What costs you money should be just as easy to track as what you invoice. Supplier invoices arrive in an inbox with tabs for pending, overdue and paid, and can be read in with OCR from a PDF or an image. Expenses and recurring costs sit in the same place with a clear status, and approvals follow rules you set yourself.

  • An inbox with tabs for pending, overdue and paid
  • OCR reading of supplier invoices from PDF or image
  • Approval policies with rules and roles
  • Log expenses with a category and payment status
  • Expense templates for recurring costs

Cost per horse and payment

When costs are linked to the right horse, you get an overview you can actually act on, broken down by category and compared against the stable's average year on year. The finance overview gathers profit, cash flow and outstanding invoices in both directions in one place. And when it's time to get paid, it happens straight away by card, close to everyday work.

  • Cost per horse broken down by category
  • Compare against the stable's average year on year
  • A finance overview with profit and cash flow
  • Take payment directly by card
  • Pay only once money actually moves

Questions about stable invoicing

Answers about billable items, invoice figures, PDF invoices, expenses, supplier invoices and payment.

Can I invoice livery fees and other charges in EquiDuty?

Yes. You create billable items for livery, training, feed and other charges with a quantity, price and tax rate. Once items are approved they become invoice lines, and you generate the invoice from there.

Do I get a finished invoice as a PDF?

Yes. Every set of invoice figures shows the lines, totals and tax breakdown, and you generate a finished PDF. Drafts can be regenerated, and sent invoices can be resent by email.

Can I see what will be invoiced before I send anything?

Yes. The billing preview gathers every pending item per payer for the chosen month, with quantities and totals with and without tax. You get the full picture before anything goes out.

How does billing to one shared payer work?

With billing groups you gather several riders under one payer, such as a parent, a company or a sponsor. That turns many invoices into one combined invoice, giving a fair split without any nagging.

Can I connect EquiDuty to my accounting software?

A connection to accounting software is on the way. Today you can already export figures and periods as CSV, so your finances still fit your existing way of working.

What does it cost to take payment?

Payments are made by card and pricing is transaction-based – Stripe's card fee plus 1% per transaction, with a monthly cap. So you pay when money actually moves, not upfront.
